To organize an event in Birtamod, build on what the town already is: Jhapa's commercial, educational and transport hub. Plan for business audiences and visitors from across Jhapa, guests who fly into Bhadrapur, and sometimes visitors who cross the border at Kakarbhitta, then fix a date around the trade-fair season and the festival and wedding calendars, inform the ward office, municipality and police, and have everyone register online so you know who is coming before they travel.

Why organize your event in Birtamod?

Birtamod is a municipality in Jhapa district, described by its own profile and by Wikipedia as the district's commercial, educational and transportation hub. It sits on the Mahendra (East-West) Highway and on the Mechi Highway, the road that climbs to Ilam and the eastern hills, and its retail and wholesale markets serve much of Jhapa.

That makes it a natural choice for:

  • Product launches, dealer meets and business events, where shopkeepers, distributors and bankers from across Jhapa need one easy meeting point.
  • Trade fairs and expos, often organized with chambers of commerce.
  • Education fairs, college events and school competitions, given the number of schools and colleges in and around the town.
  • Cultural and tourism festivals. In Chaitra 2082 (April 2026), for example, Birtamod City Center hosted a Koshi-Bengal Cultural and Tourism Festival with stalls from Nepal and India, according to Ratopati.
  • Weddings and receptions in the main wedding seasons.

Who comes to events in Birtamod, and how do they travel?

Your audience may come from several directions at once. Plan transport and timing for each group.

Coming from How they usually arrive Planning note
Birtamod and nearby towns (Arjundhara, Surunga, Charali) Bike, local bus, car Plan bike parking and a clear map pin
Bhadrapur Road; Bhadrapur is Jhapa's district headquarters Bhadrapur Airport is about 12 km from Birtamod
Kathmandu Flights to Bhadrapur (several airlines fly daily), or overnight bus Arrange airport pickups; keep a buffer in the agenda
Mechinagar and Kakarbhitta East-West Highway Kakarbhitta is the highway's eastern end at the India border
Damak and central Jhapa East-West Highway See our Damak guide
Ilam and the hills Mechi Highway Allow extra travel time, especially in the monsoon

Add a "Which town are you coming from?" question to the registration form; it tells you whether you need pickups, a later start time or a shuttle.

What changes when guests come from across the border?

Kakarbhitta, part of Mechinagar Municipality, faces Panitanki on the Indian side. Indian and Nepali nationals cross there without restriction, while other nationalities go through immigration and customs. Bagdogra Airport in India is about 21.5 km from Kakarbhitta.

If you expect visitors from India:

  • Keep a pay-at-the-venue option. Visitors may not have a Nepali wallet such as Khalti or eSewa.
  • Show prices in Nepali rupees and say clearly which payment methods the counter accepts.
  • Publish the venue address with a map pin that works for someone who does not know Jhapa.
  • Check current border rules for any international speakers or performers well before the event.

When is the best time to hold an event in Birtamod?

Watch three calendars: the weather, the festival and wedding seasons, and the trade-fair season.

Period What to expect Tip
Baisakh–Jestha (Apr–Jun) Hot Terai afternoons Prefer indoor or evening programmes
Asar–Bhadra (Jun–Sep) Monsoon rain; hill roads to Ilam can be disrupted Avoid open grounds; have an indoor backup
Asoj–Kartik (Sep–Nov) Dashain, Tihar, Chhath Audiences and vendors are busy or travelling
Mangsir (Nov–Dec) Main wedding season Banquets and vendors book early
Poush–Magh (Dec–Feb) Cool days, foggy mornings, Lhosar, Maghe Sankranti, trade fairs Start later in the morning; check fair dates
Magh–Falgun (Jan–Mar) Second wedding season, pleasant weather Good for events; book venues early

Large fairs have recently been held in January and February. The Birtamode Chamber of Commerce and Industry's international industrial trade fair ran from 21 January to 1 February 2025 with about 150 stalls (B360), and the Jhapa Chamber of Commerce and Industry's fair at Mechi Stadium in Chandragadhi ran from 21 January to 4 February 2026 with 130 stalls (B360). If your event targets the same business audience, either partner with the fair or avoid its opening and closing days.

How do you run an expo or trade fair in Birtamod?

Treat exhibitors and visitors as two separate audiences with separate registration, passes and gates. This is where most fair organizers lose control of numbers.

  1. Exhibitor registration form. Ask for company name, contact person, stall size, products, power needs and number of stall staff.
  2. Exhibitor and staff passes. Create a hidden ticket type for exhibitor staff, unlocked with a promo code you send only to exhibitors, so their passes stay separate from visitor tickets.
  3. Visitor tickets. Use a free or paid General ticket, plus Student or Early Bird types if they help.
  4. Separate gates. Set an exhibitor gate and a visitor gate, and allow each ticket type only at its gate.
  5. Count both ways. Scan people in and out so you can see how many are inside at peak times.
  6. Report afterwards. Export the visitor list as CSV for the chamber, sponsors and exhibitors.

For the gate side in detail, see QR code tickets and gate check-in.

What kind of venue works in Birtamod?

Match the venue to the audience, then check access from the highway, parking and power.

  • Banquets and party palaces: launches, dealer meets, award nights and receptions.
  • Hotel halls: trainings and meetings with overnight guests, especially those flying into Bhadrapur.
  • Open grounds and stadiums: fairs, concerts and sports, outside the monsoon.
  • School and college premises: education fairs and student events, with written approval.

Visit before you book, ask what the price includes, and confirm the generator. Our guide to choosing event venues and banquet halls in Eastern Nepal has a full checklist. Listed venues and vendors are on the marketplace, where you can request an availability slot that the owner confirms or declines.

Do you need permission for an event in Birtamod?

For a large public event, start with your ward office and Birtamod Municipality, and inform the local police. The District Administration Office for Jhapa is at the district headquarters in Bhadrapur; ask whether your event needs its approval. For fairs, also ask about fire safety for stalls, electricity connections and banners in public places. Requirements vary, so confirm locally before you announce the date and keep copies of letters at the gate.

How do you promote an event in Birtamod?

Use one registration link and partners who already reach your audience.

  • Share the link on Facebook, Instagram and TikTok, and in WhatsApp and Viber groups for Jhapa.
  • Work with business associations, colleges and clubs; give each partner its own promo code to track results.
  • Promote in Bhadrapur, Damak and Kakarbhitta as well as Birtamod if you want a district-wide crowd.
  • For paid events, explain payment options on the event page. Our guide to selling event tickets online in Nepal compares pay at the venue, wallet transfers and online checkout.

How do you run check-in on event day?

Scan QR passes at the gate with at least two phones, keep walk-ins and payment at a separate counter, and do a test scan the day before. At busy fairs, open the gates in a time window and use entry and exit scans to watch the inside count.

On Eventlaya, attendees register online and receive a QR pass by email, the web scanner works in any phone's browser camera, and an Android app with an offline queue syncs scans when the network returns (at the time of writing it is part of the Enterprise plan; see pricing). Attendees can pay at the venue or, where online payments are enabled, online with Khalti or eSewa.
